Job Title: Office Administrator

We are seeking a highly organized and detail-oriented Office Administrator to join our team in Fridley, MN. As an Office Administrator, you will be responsible for providing administrative support to our team, ensuring the smooth operation of our office, and maintaining accurate records.

Key Responsibilities:
  • Monitor and recognize revenue and profitability on project-related work.
  • Perform data entry and data entry supervision of vendor invoices, daily field staff production, new vendor and client set-ups, and miscellaneous cost entries.
  • Manage project maintenance, including setting up, invoicing, confirming budgets, and contract adherence, as well as maintaining accounting files.
  • Review and report the status of accounts receivable and unbilled invoicing.
  • Assist professional and field staff with daily needs and provide support for office functions.
  • Compose correspondence to assist Branch and Division Managers and provide informational notices to branch employees.
  • Compile basic and routine financial reports for the Management Team.
  • Address routine inquiries and support daily office functions.
  • Work with the Corporate HR department to ensure policies and procedures are followed.
  • Manage sensitive business communications, data, and other information with professionalism, confidentiality, and discretion.
  • Manage purchasing for office, project, and safety supplies.
  • Provide accounting support, including filing, copying, data entry, and spreadsheet maintenance.
  • Marketing support, special projects, and other tasks as required.
Requirements:
  • Associate or Bachelor's degree in accounting, business, teaching, or a related field.
  • Minimum 3-4 years of relevant experience.
  • Ability to maintain confidentiality.
  • Ability to work independently as well as collaboratively.
  • Exceptional organizational and multi-tasking skills.
  • Good reasoning, mathematical, organizational, and customer service skills.
  • Ability to be in-office daily, with limited remote work and prior approval.
Technical Requirements:
  • Experience with BST, Deltek, or similar accounting software.
  • Online vendor/purchasing systems and general office administration support.
  • Proficiency in Microsoft Office products (Word, Excel, Teams, and Outlook).
  • Detail-oriented with strong analytical and creative problem-solving skills.
  • Strong oral and written communication skills.
  • Understanding of billable time, project, and office budgeting.
