Role Overview

The Conference Sales Manager plays a crucial role in securing group business while optimizing the use of conference and banquet facilities to achieve and surpass sales targets. This position involves soliciting, negotiating, and booking both new and returning clients. The manager will engage in external sales activities, distribute promotional materials, and participate in networking opportunities within the local and regional community.

Key Responsibilities

  • Identify and engage potential clients for University Conference Services, maximizing sales across dining, catering, lodging, registration, and housing offerings.
  • Conduct external sales visits, attend trade shows, and cultivate partnerships within the local and regional markets.
  • Negotiate and draft contracts with clients, prepare budget estimates, and coordinate all necessary services and facilities during the negotiation phase.
  • Monitor lost business opportunities and implement strategies to recover them, while also focusing on retaining repeat clients.
  • Effectively communicate conference details to coordination and registration teams in a timely manner.
  • Develop and deliver sales presentations to university staff, faculty, and external groups interested in hosting events.
  • Create and maintain sales and marketing materials for prospective clients.
  • Contribute to the overall marketing strategy in collaboration with the Director of Sales.
  • Represent the Conference Services at industry events and gather relevant marketing data.
  • Assess and evaluate conference sales and marketing initiatives using industry benchmarks.
  • Build and maintain positive relationships with service providers and local businesses.
  • Commit to and support the principles of affirmative action and non-discrimination in service delivery.

Additional Duties

Perform other related tasks as assigned.

Qualifications

  • A Bachelor's Degree in hospitality management, business, sales, marketing, or a related field, along with a minimum of four years of experience in the hospitality sector; or an Associate's degree with at least six years of relevant experience.
  • A valid driver's license and reliable transportation for travel purposes.
  • Demonstrated experience in sales, marketing, event planning, budgeting, and supervisory roles.
  • Attention to detail and strong interpersonal skills are essential.
  • Excellent written and verbal communication abilities are required.
  • Proficiency in Windows-based software is necessary.

Preferred Qualifications

Experience in an academic or non-profit setting is highly desirable.

Physical Requirements

This role requires the ability to perform various physical tasks, including lifting, standing, driving, and traveling to different locations.

Work Schedule

  • Standard hours are Monday to Friday, with the expectation of occasional evening, weekend, and holiday work as needed.
