Job Summary:

EMSL Analytical, Inc. is seeking a highly organized and detail-oriented Laboratory Administrative Assistant to join our team. As a Laboratory Administrative Assistant, you will play a critical role in ensuring the smooth operation of our laboratory.

Responsibilities:

  • Receive and process environmental samples, ensuring accurate Chain of Custody documentation in our Laboratory Information Management System (LIMS).
  • Manage incoming shipments and handling items from clients, verifying their accuracy and completeness.
  • Prepare and dispatch reports and invoices to clients in a timely manner.
  • Distribute samples to analysts once they have been logged into the LIMS system.
  • Review and verify the completeness and correctness of all incoming sample paperwork.
  • Inspect samples to ensure their integrity and packaging are not compromised.
  • Ensure all samples are stored in the proper area, awaiting analysis.
  • Generate analytical reports and enter data produced by analysts into our computer system for the production of the final, client-ready report.
  • Ensure the final report is prepared within the required timeframe and that results are reported to the client in a timely manner.
  • Create and file final reports and invoices.
  • Utilize proprietary database software to create new jobs and projects.
  • Provide exceptional customer service, responding to high-volume phone calls and client inquiries via phone and email.
  • Act as a liaison between clients and laboratory staff, facilitating communication and resolving issues.
  • Perform various clerical duties, including answering phones, filing, faxing, assisting clients, scanning, and mailing as needed.

Requirements:

  • High School Degree or equivalent.
  • Two to three years of experience in an office, customer service, or call center environment.
  • Science background is desirable, including education or laboratory experience.
  • Excellent computer skills, with proficiency in MS Office, particularly Excel and typing.
  • Excellent communication skills, with the ability to interact professionally with clients.
  • Ability to work in a fast-paced environment, multitasking and prioritizing work assignments.
  • Organized and detail-oriented, with the ability to stand and sit for various lengths of time.
