Job Summary

We are seeking a highly organized and detail-oriented Laboratory Administrative Assistant to join our team at EMSL Analytical, Inc. The successful candidate will provide administrative support to our laboratory staff, ensuring the smooth operation of our daily activities.

Key Responsibilities
  • Receive and process environmental samples, ensuring accurate Chain of Custody documentation in our Laboratory Information Management System (LIMS).
  • Manage incoming shipments and handling items from clients, verifying their accuracy and completeness.
  • Prepare and mail reports and invoices to clients in a timely manner.
  • Distribute samples to analysts once they have been logged into the LIMS system.
  • Review and verify the completeness and correctness of all incoming samples.
  • Inspect samples to ensure their integrity and packaging are not compromised.
  • Store samples in the proper area, awaiting analysis.
  • Generate analytical reports and enter data produced by analysts into our computer system for the production of final, client-ready reports.
  • Ensure final reports are prepared within the required timeframe and results are reported to clients in a timely manner.
  • Create and file final reports and invoices.
  • Utilize proprietary database software to create new jobs and projects.
  • Provide exceptional customer service, responding to high-volume phone calls and client inquiries via phone and email.
  • Act as a liaison between clients and laboratory staff, facilitating communication and resolving issues.
  • Perform various clerical duties, including answering phones, filing, faxing, assisting clients, scanning, and mailing as necessary.
Requirements
  • High School Degree or equivalent.
  • Two to three years of experience in an office, customer service, or call center environment.
  • Science background is desirable, including education or laboratory experience.
  • Excellent computer skills, with proficiency in MS Office, especially Excel and typing.
  • Excellent communication skills, with the ability to interact professionally with clients.
  • Ability to work in a fast-paced environment, multitasking and prioritizing work assignments.
  • Organized and detail-oriented, with the ability to stand and sit for various lengths of time.
