Administrative Support Specialist

As an Administrative Assistant/Personal Assistant at Volt, you will be the first point of contact for clients and staff, providing a professional and welcoming presence. Your responsibilities will include managing the CEO's email inbox, drafting responses, and prioritizing important communications. You will also answer, screen, and route incoming phone calls, ensuring timely communication. Additionally, you will perform administrative duties such as filing, data entry, managing records, and scheduling meetings, with a focus on accuracy and confidentiality. You will coordinate office supply inventory and ensure the front desk area is well-maintained and presentable. You will also prepare and distribute correspondence, memos, and reports as needed. Furthermore, you will manage the CEO's personal and business calendar, ensuring seamless scheduling of meetings, appointments, and events. You will plan and arrange complex travel logistics, including booking flights, accommodations, transportation, and itineraries. You will also assist with personal tasks such as coordinating family errands, managing appointments, and planning personal trips. You will proactively address any personal or professional commitments to ensure deadlines are met and details are handled efficiently.
Requirements
The ideal candidate will have 1+ years of experience as an Assistant/Front Desk in a corporate or fast-paced environment. You will have strong organizational, prioritization, and time-management skills, with the ability to manage multiple tasks simultaneously. You will have excellent verbal and written communication skills. You will be able to work independently, exercise sound judgment, and maintain confidentiality in all matters. You will be proficient in office software, including the Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). You will be detail-oriented and proactive, with strong problem-solving skills.
What We Offer
This is a full-time, Direct Hire opportunity. The salary range is $45,000 - $50,000 per year. Pay range offered to a successful candidate will be based on several factors, including the candidate's education, work experience, work location, specific job duties, certifications, etc. Benefits will be provided by the employer.
