Job Overview

Position Title: Service Writer / Administrative Support (Material Handling)

Role Summary:

At Arnold Machinery, we are dedicated to delivering exceptional customer service through our skilled team. Our extensive machinery support team is recognized throughout the western United States. The Service Writer is integral in upholding our service excellence by facilitating communication between customers and our dealership while assisting the service department with essential administrative and operational responsibilities.

Key Responsibilities:
  • Customer Engagement:
    • Serve as the main contact for customers interacting with the dealership.
    • Enhance customer satisfaction by promoting labor and parts sales.
    • Professionally greet walk-in customers and manage incoming calls.
  • Job Oversight:
    • Document, track, and assist in closing service jobs.
    • Accurately assess machine warranty status and inform customers accordingly. If warranty status is unclear, communicate that charges will apply until confirmed.
    • Collaborate with the Service Manager to review daily schedules, prioritizing work-in-progress, parts deliveries, and completion timelines.
    • Ensure that repairs are conducted within the estimated labor hours.
    • Follow up with the Service Manager to secure customer approval for jobs lacking written consent prior to mechanic dispatch.
  • Administrative Duties:
    • Manage technician time cards and maintain service documentation.
    • Assist the Parts Manager with parts ordering, inventory management, and restocking as necessary.
    • Support the parts counter when needed to process customer orders.
    • Help the Sales department with administrative tasks, including financial documentation and equipment orders.
Additional Responsibilities:
  • Ensure adherence to safety, cleanliness, and company policies among service personnel with the Service Manager's guidance.
  • Verify that final invoices align with service proposals to meet customer expectations.
  • Assist the Service Manager in the administration of the Service Department, keeping them informed of all relevant matters.
  • Support the Parts Manager in the administration of the Parts Department.
Required Skills and Qualifications:
  • Proactive mindset with a strong work ethic.
  • Detail-oriented with effective problem-solving skills and the ability to work with minimal supervision.
  • Proficient in Microsoft Excel and Word.
  • Strong mathematical abilities.
Physical Requirements and Work Environment:
  • Ability to sit for extended periods and reach for phone calls.
  • Read documents and files on a computer screen.
  • Communicate effectively via phone and in person.
  • Bend to file documents and navigate uneven surfaces.
  • Ability to hear communications via radio, phone, and in person.
  • Capability to bend forward and stand for prolonged periods as necessary.
Educational Background:
  • High School Diploma or equivalent; relevant experience may substitute for educational qualifications.
