Position Overview & Responsibilities:

Procurement Administrative Coordinator

The Office of Procurement and Contracts (OPC) is tasked with enhancing the procurement processes that serve the interests of the State of Kansas and its citizens. This includes striving for increased efficiencies and economies in procurement, upholding integrity, promoting fair competition, and ensuring the best value and quality of goods and services for the State.

This role is part of a team of Procurement Administrative Coordinators responsible for daily operational tasks such as tracking bids, managing insurance documentation, SMART routing of bids, and scheduling bid awards. The primary coordinator and the backup will also provide personal assistance to the Director and Deputy Directors.

Key Responsibilities:

The selected candidate will collaborate closely with State agencies to process prior authorizations and purchase orders. Duties will include:

  • Assisting agencies with unique procurement scenarios.
  • Supporting executive staff by entering requisitions.
  • Providing agency support with SMART system functionalities.
  • Offering remote assistance to agency procurement personnel to ensure compliance.
  • Facilitating specialized contract renewals.
  • Summarizing financial reports, creating queries, and executing additional reporting tasks as required.

Additional responsibilities include:

  • Coordinating daily bid openings, which involves receiving bid submissions in person or via email, documenting responses, and archiving communications appropriately.
  • Maintaining the security of bid submissions.
  • Processing contract renewals as directed by procurement officers.
  • Creating bid solicitations and managing the bidders list (Bid Tab Sheets) to ensure timely availability.
  • Monitoring websites for upcoming bid deadlines and supporting other staff in supplier/vendor setup and maintenance.

Note: This position requires 100% in-office attendance and does not offer remote or hybrid work options.

Minimum Qualifications:

A minimum of two years of experience in general office, clerical, and administrative support roles, including experience with electronic accounting and filing systems. Relevant education may substitute for experience as determined by the agency.
