About the Role

We are seeking a highly organized and detail-oriented Administrative Assistant to provide administrative support to our Occupational Health and Wellness center in Andover, MA. As a key member of our team, you will be responsible for providing exceptional customer service, managing calendars, scheduling meetings, and coordinating travel arrangements.

Key Responsibilities
  • Manage calendars for internal and external meetings
  • Plan and schedule meetings, including room reservations, invitations, and accommodations
  • Coordinate and confirm travel arrangements
  • Prepare and review expense reports and submit to accounting
  • Create original Word documents and PowerPoint presentations
  • Handle administrative duties, including answering incoming calls, copying, binding, opening and routing mail, and electronic and standard file management
  • Event planning and coordination
  • Look for ways to improve and promote quality, demonstrating accuracy and thoroughness
  • Ability to identify and solve problems in a timely manner, gathering and analyzing information skillfully, and developing alternate solutions
  • Exceptional interpersonal skills, listening skills, and treating others with respect and consideration
  • Follow through on commitments and demonstrate a strong customer service orientation
  • Demonstrate ability to perform and maintain Annual Competencies
Requirements
  • One year certificate from college or technical school with concentration in front office support for medical settings
  • At least three years' experience providing administrative support in a clinic or office setting
  • Strong computer skills and knowledge of Internet software, Spreadsheet software, and Word Processing software
  • Ability to prioritize and handle multiple projects to meet deadlines with minimal supervision
  • Excellent oral and written communication skills, with ability and comfort level communicating with senior management
  • Highly organized, high energy, positive attitude, self-starter, and independent thinker
  • Excellent interpersonal skills
  • Knowledge of Medical Practice software a plus
