JOB SUMMARY

The Surgical Scheduling Coordinator plays a vital role in ensuring the smooth and efficient operation of surgical procedures across various healthcare facilities. This includes hospitals, ambulatory surgery centers, and other relevant entities.

ESSENTIAL FUNCTIONS OF THE ROLE

  • Provide patients with comprehensive pre- and post-operative instructions, including details about food and fluid intake, medication restrictions, and any necessary preparations before surgery. Verify crucial patient information such as allergies and current medications to ensure accurate guidance.
  • Coordinate the scheduling of pre-operative evaluations and surgical clearances from physicians or surgeons as required by protocol. Ensure all documentation is obtained prior to the scheduled surgery date.
  • Manage patient appointments within the electronic health record system, ensuring insurance information is accurately entered, attached to the visit, and verified. Attach authorization documents to each appointment for seamless processing.
  • Document all communication with patients regarding surgical scheduling coordination. Scan all relevant scheduling documentation into the designated electronic system and schedule necessary follow-up appointments with attached authorizations.
  • Conduct precertification and verification of surgical benefits with insurance companies to ensure coverage and minimize potential delays in treatment.
  • Maintain a meticulous record of surgical block time, optimizing utilization and minimizing downtime. Communicate with surgeons regarding unused time and release it effectively to prevent loss of valuable operating room resources. Adjust schedules to accommodate cancellations and prioritize patients requiring immediate or emergency procedures.

KEY SUCCESS FACTORS

  • Prior experience in healthcare revenue cycle management is highly beneficial.
  • Excellent listening and communication skills are essential, coupled with professional and respectful telephone etiquette.
  • Proficiency in operating basic office equipment, including computers, fax machines, copiers, scanners, and telephones, is required.
  • The ability to multitask effectively and prioritize responsibilities is crucial in this fast-paced environment.
  • Maintaining strict confidentiality of patient information is paramount.
  • Exceptional data entry, numerical, typing, and computer navigation skills are essential for accurate record-keeping.
