Position Summary:

We are in search of a committed and meticulous Sales Support Specialist who will be instrumental in aiding our sales team and ensuring the efficient processing of orders. This role involves managing sales documentation, liaising with both national and international partners, and overseeing the necessary paperwork to guarantee compliance with industry regulations. The ideal candidate will be organized, possess excellent communication skills, and excel in a dynamic work environment.

Key Responsibilities:

  • Accurately input, verify, and manage all sales contracts and orders using our ERP system.
  • Facilitate purchase contracts and orders as required.
  • Coordinate daily with customers, production teams, warehouses, vendors, and logistics to ensure timely order fulfillment; monitor inventory levels daily.
  • Track shipments, manage order routing, and report on late shipments.
  • Prepare and oversee export documentation, including bills of lading, commercial invoices, and certificates of origin, ensuring compliance with international trade regulations and company policies. Stay informed on changes in export laws and procedures.
  • Manage accounts receivable tracking and communication, including the reconciliation of credits and deductions.
  • Support grain procurement through shipping and sales forecasting.
  • Assist in tracking inventory for outsourced items and customer dropships.
  • Learn and utilize the ERP system for daily operations.
  • Assist with the setup of new items.
  • Prepare monthly customer contract balance statements.
  • Provide support for transfer/co-manufacturing and inbound logistics.
  • Coordinate trade shows in collaboration with the sales team.
  • Assist the sales team in preparing customer presentations and meetings.
  • Handle customer samples and small order courier shipments, with the ability to lift up to 50 lbs.
  • Facilitate the provision of frequently requested documentation for customers, either directly or in partnership with the Quality Assurance team.
  • Perform other duties as assigned.

Qualifications and Skills:

  • 3-5 years of experience in customer service or sales support.
  • Ability to work independently on daily tasks while collaborating effectively with team members in a fast-paced setting.
  • Experience with EDI orders and/or advanced shipment notice submissions is a plus.
  • Highly organized with a strong attention to detail; creative and dependable.
  • Proficient with technology and a quick learner.
  • Experience with Microsoft Office and Dynamics 365 is preferred.
