Position Overview:

Our client, a prominent global private equity firm, is in search of a dedicated Full-Time/Permanent Executive Assistant to enhance the efficiency of its Investor Relations Team, which comprises 1 Managing Director, 2 Principals, and 1 Senior Associate. Ideal candidates will possess a minimum of 7+ years of relevant high-level executive administrative experience, preferably within the financial services sector, particularly in private equity. A Bachelor's degree is mandatory.

The successful candidate will exhibit a polished and professional demeanor, demonstrating proactivity, flexibility, and a strong willingness to learn. They should thrive in a dynamic, fast-paced environment and possess exceptional interpersonal and communication skills, both verbal and written. Proficiency in Microsoft Office Suite is essential, with CRM database management experience being highly desirable.

Key Responsibilities:

  • Efficiently schedule, organize, and prioritize a wide range of internal and external meetings, conference/video calls, and appointments, taking into account logistics, technology, and necessary materials.
  • Plan and coordinate conferences, events, and dinners, managing all aspects including invitations, budgeting, venue selection, and logistics.
  • Utilize sound judgment to gather necessary input from team members and balance conflicting priorities effectively.
  • Maintain and update the CRM system with investor meeting details and professionals' notes as required.
  • Prepare conference rooms for meetings, ensuring all materials are ready and catering needs are met.
  • Create and distribute meeting agendas and bios for Limited Partners (LPs), sending digital materials ahead of time.
  • Monitor team meeting notes to stay informed on LP activities and follow-ups.
  • Coordinate complex travel arrangements, both international and domestic, including flights, accommodations, and dining reservations, while preparing detailed itineraries.
  • Process and submit accurate expense reports in compliance with company policies, maintaining an allocation spreadsheet for all related expenses.
  • Support professionals in their non-profit initiatives, including event logistics and meeting attendance.
  • Assist with personal administrative tasks as needed, liaising with family members and financial advisors.
  • Contribute to mentoring and training of junior staff members.
  • Serve as a proxy for compliance-related tasks, including trade and gift pre-clearance.
  • Maintain tax-related documents and coordinate with accountants for timely submissions.
  • Draft and track outreach communications to investors, ensuring follow-up with non-responders.
  • Collaborate with the CRM team to ensure regular engagement with all LPs and potential investors.
  • Develop and maintain accurate contact lists and investor profiles within the CRM system.
  • Foster relationships with external investors and their teams, interacting with senior executives and board members.
  • Work collaboratively within the EA team to provide support and manage workloads effectively.

Required Qualifications:

  • Minimum of 7+ years of executive administrative experience, ideally within an Investor Relations team in financial services.
  • Bachelor's degree is required.
  • Demonstrated professionalism and polished communication skills.
  • Exceptional organizational skills with a keen attention to detail.
  • A collaborative team player capable of building relationships across all levels of the organization.
  • A proactive approach with a willingness to tackle tasks of any size.
  • Ability to adapt swiftly to changes and embrace new processes and tools.
  • Advanced skills in Microsoft Office Suite, particularly Outlook, Teams, Word, Excel, and OneDrive.
  • Experience with CRM software is preferred; training will be provided.
