Position Overview:

Our client, a prominent global private equity firm, is in search of a dedicated Full-Time/Permanent Executive Assistant to provide comprehensive support to its Investor Relations team, which comprises a Managing Director, two Principals, and a Senior Associate. The ideal candidate will possess a minimum of 7 years of high-level executive administrative experience, preferably within the financial services sector, particularly in private equity. A Bachelor's degree is mandatory.

The successful candidate will be polished, professional, proactive, and adaptable, with a strong desire to learn and excel in a dynamic work environment. Exceptional interpersonal and communication skills, both verbal and written, along with advanced proficiency in Microsoft Office Suite, are essential. Experience with CRM database management is highly valued.

Compensation and Benefits:

  • Competitive salary based on experience, along with a discretionary bonus.

Responsibilities:

  • Manage and prioritize extensive internal and external meetings, ensuring all logistics and materials are organized.
  • Plan and coordinate conferences, events, and dinners, overseeing all aspects from invites to logistics.
  • Utilize sound judgment to balance conflicting priorities and gather necessary input from team members.
  • Input meeting notes into the CRM system and manage all in-house meeting preparations.
  • Coordinate complex travel arrangements, preparing detailed itineraries and liaising with relevant parties.
  • Prepare and submit accurate expense reports in compliance with company policies.
  • Support professionals in their non-profit activities and assist with personal administrative tasks as needed.
  • Mentor and train junior staff members.
  • Track in-office working days for tax purposes and maintain necessary documentation.
  • Draft outreach communications to investors and maintain regular contact with all stakeholders.
  • Collaborate with the wider EA team to ensure seamless support across the organization.

Qualifications:

  • At least 7 years of executive administrative experience, ideally within an Investor Relations team in financial services.
  • Bachelor's degree is required.
  • Highly organized with meticulous attention to detail.
  • Ability to foster relationships with internal and external stakeholders.
  • Proficient in Microsoft Office Suite, particularly Outlook, Teams, Word, Excel, and OneDrive.
  • Experience with CRM software is preferred.
