Executive Assistant to Investor Relations Leader – Private Equity Sector

A prominent Private Equity organization is in search of a seasoned Executive Assistant to provide support to their Head of Investor Relations. Prior experience in supporting an executive or team within investor relations is essential.

Compensation: The salary is competitive and based on experience, ranging from $125,000 to $140,000 base salary, along with a 20% bonus, three weeks of vacation, a comprehensive employer-paid benefits package, and a 401k matching program.

Work Arrangement: This is a hybrid position located in Midtown NYC, requiring on-site presence four days a week (Monday to Thursday), with occasional Fridays.

Typical Working Hours: Standard office hours are from 8:30 AM to 5:30 PM, with a need for flexibility.

Ideal Candidate Profile:

  • Approximately five years of experience supporting C-suite executives, preferably within the financial services sector, with a focus on investor relations.
  • Ability to maintain composure while working closely with senior executives.
  • A Bachelor's Degree is mandatory.
  • Proficient in managing travel arrangements, meeting coordination, and conference calls across different time zones.
  • Advanced skills in Microsoft Office Suite (Excel, PowerPoint, Word) and Outlook.
  • Capable of multitasking and adjusting priorities as new information arises.
  • Strong attention to detail and the ability to handle confidential matters with discretion.

Key Responsibilities:

  • Organize and coordinate internal and external meetings and calls with high-profile senior stakeholders across various time zones.
  • Prepare necessary materials for meetings, including printing and binding; proficiency in PowerPoint and Excel is crucial.
  • Assist the Head of Investor Relations in preparation for meetings by ensuring all materials are ready in advance and follow up post-meeting to manage action items.
  • Plan extensive domestic and international travel arrangements, including flights, visas, and accommodations.
  • Manage lunch and dinner reservations for investor engagements.
  • Support Investor Relations activities, including organizing roadshows, maintaining data in the firm's CRM, managing presentation materials, and assisting with event planning.
  • Perform errands as needed.
