Job Overview

Are you interested in a rewarding position as an Assistant Manager for Onsite Condominium Operations at RGN? We are seeking a dedicated individual to support our property management team in ensuring the efficient functioning of our condominium community. Key Responsibilities:
  • Manage incoming phone communications for the condominium.
  • Process voicemail messages and update outgoing office messages as needed.
  • Welcome and assist visitors to the office, directing them to the appropriate management personnel.
  • Keep a record of all visitors and contractors entering the office.
  • Maintain logs for calls and faxes.
  • Collect and update contact information for unit owners.
  • Handle maintenance inquiries and generate work orders.
  • Track and follow up on all maintenance requests.
  • Oversee maintenance schedules, including pest control and landscaping, and inform management of any issues.
  • Coordinate pest management appointments on a monthly basis.
  • Schedule and confirm service appointments for maintenance personnel and contractors.
  • Safeguard unit keys and maintain an organized key management system.
  • Document all maintenance calls in a monthly service log.
  • Organize and file correspondence and completed maintenance requests.
  • Maintain comprehensive filing systems and ensure all documents are properly filed.
  • Draft correspondence, form letters, and community announcements as directed.
  • Prepare newsletters, flyers, and notices for distribution within the community.
  • Assist in preparing mailings for homeowners as requested by management.
  • Monitor office supply inventory and place orders as needed.
  • Generate purchase orders for supplies.
  • Request maintenance staff to conduct interior resale inspections and report findings to management.
  • Issue pool and parking permits in accordance with established policies.
  • Track project progress for maintenance staff and update management accordingly.
  • Prepare documentation for Board meetings.
  • Maintain a tidy and organized workspace.
Qualifications:
  • Minimum of 2 years of experience in property management or a related field.
  • Familiarity with property management software and tools.
  • Excellent customer service and interpersonal skills.
  • Ability to effectively manage multiple tasks and prioritize responsibilities.
  • Authorization to work in the United States.
