Key Responsibilities:
  • Manage incoming phone communications for the condominium.
  • Process voice mail messages and update the outgoing office message as needed.
  • Welcome and assist all visitors to the office, directing them to the management office when necessary.
  • Keep a detailed log of all visitors and contractors entering the office.
  • Maintain records of calls and faxes.
  • Collect and update contact information for unit owners as required.
  • Handle maintenance inquiries and generate work orders.
  • Track and follow up on all maintenance requests.
  • Oversee maintenance schedules, including pest control and landscaping, and inform the Manager of any issues.
  • Coordinate pest management appointments on a monthly basis.
  • Schedule and confirm service appointments for maintenance personnel and contractors.
  • Safeguard unit keys and maintain control of the key box.
  • Document all maintenance calls in a monthly service log.
  • Organize and file correspondence and completed maintenance requests.
  • Maintain all filing systems and ensure accurate filing.
  • Draft correspondence, form letters, and community announcements as directed.
  • Prepare newsletters, flyers, and notices, coordinating their distribution or posting.
  • Label and prepare mailings for homeowners as requested by management.
  • Monitor office supply inventory and place orders as instructed.
  • Create purchase orders for supplies ordered.
  • Request maintenance staff to conduct interior resale inspections and provide results to management.
  • Issue pool and parking permits in accordance with established policies.
  • Update charts reflecting the progress of projects undertaken by maintenance staff.
  • Keep management informed about pending work orders and projects.
  • Prepare documentation for Board hearings.
  • Maintain a tidy and organized workspace.
Qualifications:
  • Minimum of 2 years experience in property management or a related field.
  • Familiarity with property management software and tools.
  • Excellent customer service and interpersonal skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Authorization to work in the United States.
