Position Overview

The Café Procurement Specialist plays a crucial role in overseeing the purchasing and receiving processes for the Café and Cheese Departments, serving as a vital support to the primary Café buyers.

Key Responsibilities

Essential Duties:

  • Oversees the procurement and receipt of goods for the Café and Cheese Departments, acting as a secondary resource for other buyers.
  • Collaborates with buyers to establish and uphold retail inventory levels, cheese preparation, and product presentation.
  • Adheres to established protocols and procedures as directed by the Café and Cheese Buyers.
  • Places timely orders for specified products to guarantee consistent availability of goods.
  • Ensures the accuracy of invoices and submits them promptly upon receipt.
  • Proactively monitors invoices and seeks necessary credits in an organized manner.
  • Works alongside Buyers and Management to maintain accurate General Ledger reconciliations.
  • Maintains optimal stock levels of ingredients and products, monitoring for shortages and excess inventory.
  • Utilizes category reviews and sales movement reports to inform purchasing decisions that align with market demands and sales objectives.
  • Implements proper inventory rotation and compliance procedures to meet audit standards.
  • Creates and displays appropriate signage for products under the Café Buyer’s purview, adhering to the standards of The Common Market.
  • Follows established guidelines, procedures, and Standard Operating Procedures (SOPs).
  • Adjusts purchasing quantities as necessary for promotional events and product transitions.
  • Participates in training sessions relevant to the Café, sharing insights and customer feedback to enhance departmental productivity.
  • Informs staff about new product arrivals and updates.
  • Conducts research on products to develop a comprehensive understanding of their characteristics and market trends.
  • Maintains up-to-date knowledge of products to effectively assist customers and inform staff.
  • Stays informed about new products and industry trends.
  • Assists in planning promotions and coordinating product orders with Buyers.
  • Communicates with the Merchandising Liaison regarding purchasing for upcoming promotional activities.
  • Proactively assists customers in locating items and addressing inquiries about pricing and offerings.
  • Handles all products in a safe and sanitary manner, ensuring compliance with health standards.
  • Maintains cleanliness and organization in both the sales floor and back stock areas.
  • Engages in professional development activities to enhance knowledge and skills.
  • Delivers attentive, prompt, and friendly service to all customers, both internal and external.
  • Fosters customer satisfaction with the products and services provided by the co-op.
  • Performs additional duties as assigned.
Qualifications

Required Skills and Experience:

  • High School Diploma or equivalent experience.
  • A minimum of two (2) years of experience in a retail setting.
  • At least one (1) year of experience in purchasing or merchandising.
  • Demonstrates alignment with the co-op's core values and adheres to the Co-op Code of Conduct.
  • Adapts effectively to changing co-op needs and feedback.
  • Maintains composure in high-pressure situations.
  • Possesses knowledge of organic products, sustainable practices, health, and nutrition.
  • Proficient in computer applications, including MS Office Suite, and experienced with Point of Sale (POS) systems.
Work Environment and Physical Requirements
  • Flexibility to work various shifts, including mornings, afternoons, evenings, and weekends.
  • Must wear appropriate footwear and attire as per safety guidelines.
  • Ability to work in a range of temperatures (approximately 40°F – 95°F).
  • Capability to stand or sit for extended periods.
  • Ability to bend, stoop, reach, kneel, twist, and climb as necessary.
  • Ability to lift up to 50 pounds without assistance.
  • Reliable access to transportation is required.
