Position Overview

We Recruit Well is looking for a proactive Office Coordinator to boost team effectiveness and productivity.

Work Schedule: Full-Time, On-Site - This role does not offer remote or hybrid options.

Compensation: $43,000 - $46,000 annually, with potential for quarterly bonuses.

Benefits Include: Paid vacation and personal time, 401K plan, comprehensive medical, dental, and vision coverage, as well as life insurance.

Employment Type: W2 Employee

Key Responsibilities

  • Act as the primary point of contact for visitors, clients, and applicants, ensuring a welcoming atmosphere and managing the reception area efficiently.
  • Respond to incoming calls and emails professionally, providing information about job openings and directing inquiries to the appropriate personnel.
  • Maintain strong relationships with vendors and contractors by managing documentation such as monthly lien waivers and assisting with payment applications.
  • Oversee various administrative tasks, including securing necessary permits, processing orders, notarizing documents, and supporting the Chief Operating Officer and project managers.
  • Collaborate with the Office Manager to ensure the smooth operation of the office by managing supply orders and assisting with accounts payable.

Qualifications

Education and Certifications:

  • High school diploma or equivalent required.
  • Must be a commissioned Notary Public or willing to obtain certification.

Experience:

  • Prior office experience is highly preferred.

Essential Skills:

  • Ability to perform basic calculations.
  • Strong command of grammar, spelling, and punctuation.
  • Proficient in Microsoft Office Suite, particularly Excel, with a working knowledge of formulas.

Interpersonal Skills:

  • Excellent verbal and written communication skills, along with active listening abilities.
  • Detail-oriented mindset, ensuring tasks are completed accurately.
  • Self-motivated individual who understands the importance of adhering to established protocols.
  • Proactive in taking on responsibilities with a sense of urgency.
  • Appreciates organizational structure while being open to seeking clarification to meet expectations.
