Job Summary

The Event Planner II is a key member of the Events Department at Eagle Mountain International Church Inc. This role requires a highly organized and detail-oriented individual who can provide administrative and project support to the team.

Key Responsibilities
  • Coordinate communication with department heads and managers to ensure seamless event execution
  • Maintain a database of event travel information for staff, volunteers, and contractors
  • Review and evaluate RFPs and negotiate contracts for venues and hotels
  • Coordinate housing and travel arrangements for staff, volunteers, and contractors
  • Provide onsite support to the Senior Event Manager during event execution
  • Troubleshoot and assist the Senior Event Manager with issues that arise during the event
  • Plan and facilitate logistics for events, including contracts, presentation materials, transportation, and lodging
  • Manage accounting for department operational expenses and travel event expenses
  • Review and negotiate contracts with A/V technicians and musicians
  • Manage on-the-job training for new hires and temporary employees
  • Update crew notes for the Event Manager
  • Process deposits and final payments
  • Coordinate with internal staff and serve as a liaison to the Senior Event Manager
  • Research resources and contacts for events as needed
  • Travel to events as necessary, both domestically and internationally
Requirements
  • High School Diploma required; Bachelor's degree preferred
  • Three to four years' experience in church/ministry administration or business-related experience preferred
  • Two years' experience in meeting/conference planning preferred
  • One year's experience in project management or a related field preferred
Knowledge, Skills, and Abilities
  • Proficient in Microsoft Office programs (Excel, Word, Outlook, etc.)
  • Excellent interpersonal skills
  • Experience in problem resolution and decision making, able to make quick decisions at times
  • Ability to multi-task and exhibit excellent verbal and written communication
  • Understanding of project management principles and processes
  • Excellent organizational skills and time management skills with high attention to detail
  • Able to work independently and deal with confidential information
  • Ability to handle pressure and manage deadlines
Working Conditions

This role requires frequent travel to Eagle Mountain International Church Inc. events, both domestically and internationally.
