Event Coordinator

The Event Planner II is a key member of the Events Department at Eagle Mountain International Church Inc. This role requires a highly organized and detail-oriented individual who can provide administrative and project support to the team.
Key Responsibilities- Coordinate communication with department heads and managers to ensure seamless event execution
- Maintain a database of event travel information for staff, volunteers, and contractors
- Review and evaluate RFPs and negotiate contracts for venues and hotels
- Coordinate housing and travel arrangements for staff, volunteers, and contractors
- Provide onsite support to the Senior Event Manager during event execution
- Troubleshoot and assist the Senior Event Manager with issues that arise during the event
- Plan and facilitate logistics for events, including contracts, presentation materials, transportation, and lodging
- Manage accounting for department operational expenses and travel event expenses
- Review and negotiate contracts with A/V technicians and musicians
- Manage on-the-job training for new hires and temporary employees
- Update crew notes for the Event Manager
- Process deposits and final payments
- Coordinate with internal staff and serve as a liaison to the Senior Event Manager
- Research resources and contacts for events as needed
- Travel to events as necessary, both domestically and internationally
- High School Diploma required; Bachelor's degree preferred
- Three to four years' experience in church/ministry administration or business-related experience preferred
- Two years' experience in meeting/conference planning preferred
- One year's experience in project management or a related field preferred
- Proficient in Microsoft Office programs (Excel, Word, Outlook, etc.)
- Excellent interpersonal skills
- Experience in problem resolution and decision making, able to make quick decisions at times
- Ability to multi-task and exhibit excellent verbal and written communication
- Understanding of project management principles and processes
- Excellent organizational skills and time management skills with high attention to detail
- Able to work independently and deal with confidential information
- Ability to handle pressure and manage deadlines
This role requires frequent travel to Eagle Mountain International Church Inc. events, both domestically and internationally.
