Event Project Manager

Oxford Solutions is seeking an experienced Event Project Manager to provide event project support to our commercial marketing team. The ideal candidate will be detail-oriented, a strong negotiator, and able to handle high-pressure situations with professionalism.

Key Responsibilities
  • Plan and manage all aspects of conventions, ensuring alignment with business objectives, managing budgets, and anticipating potential issues.
  • Collaborate with leadership to set meeting agendas, select venues, and oversee logistics, including hotel, air, and ground transportation.
  • Negotiate contracts and manage vendor relationships to maximize cost savings while ensuring high-quality event experiences.
  • Provide on-site event management, ensuring all arrangements are executed smoothly and handling any last-minute changes.
  • Prepare and distribute event materials such as invitations and agendas, monitor RSVPs, and coordinate attendee logistics.
  • Manage event budgets, review vendor billings for accuracy, and create detailed cost summaries post-event.
  • Support internal events, such as corporate holiday parties and team activities, and provide project management for the commercial marketing team.
Requirements
  • Bachelor's degree or equivalent experience with 5 to 7 years in corporate meeting planning.
  • CMP designation preferred but not required.
  • Strong interpersonal and negotiation skills with the ability to solve problems quickly and creatively.
  • Excellent organizational and communication skills, both written and verbal.
  • Ability to remain composed under pressure and work as a team player.
  • Willingness to travel up to 30%, including weekends and evenings as required.
