Key Responsibilities:
• Serve as a liaison between Sales Managers and clients in their absence. Gather booking inquiries via phone and prepare necessary documentation.


• Prepare all event-related documentation and coordinate with sales, hotel departments, and customers to ensure consistent, high-quality service throughout all phases of the event.

• Utilize various software applications to enter data, generate contracts, correspondence, forms, memoranda, and other documents. Build group blocks and input rooming lists and other essential data into the group booking system. Familiarity with Marriott Systems is a plus.

• Answer phone calls and respond to inquiries in a clear and friendly manner. Use decision-making skills to direct callers' requests appropriately. Accurately record messages for staff and ensure timely distribution.


• Distribute documents to the relevant individuals and locations to facilitate prompt processing of time-sensitive information by hotel and supplier staff.

• Transport documents weighing up to 10 pounds to various offices, mailrooms, and other locations within the hotel.


• Retrieve and organize documents in appropriate receptacles located up to 6 feet high, such as mailboxes and file cabinets.

• Manage individual reservations for VIP clients, ensuring all arrangements, including upgrades, are coordinated properly with other departments through verbal and written instructions.

• Organize, file, and retrieve documents in designated binders to maintain essential records for departmental operations.

• Adhere to attendance policies and be available to work regularly.

• Perform any other job-related duties as assigned.

Qualifications:
• Proficiency in English communication is required.

• A minimum of two years of experience in a hotel environment is preferred.

• Previous experience in hotel sales is advantageous.

• Maintain a professional appearance and demeanor at all times.
