Job Overview

We are seeking a skilled Conference Service Coordinator to join our team at Kay Search Group in Manhattan, NY.

Key Responsibilities:
  • Reserve conference rooms and spaces, coordinating associated services such as food, beverage, facilities, signage, materials, security, floorplans, and secretarial services.
  • Greet clients and visitors, respond to phone calls, and transmit messages accurately and promptly.
  • Efficiently handle numerous phone calls and emails with new booking requests and changes.
  • Maintain calendars and schedule appointments, meetings, and conference calls.
  • Act as liaison with building management, Office Services, Records, Accounting, and IT departments.
  • Assist with directing clients to training/breakout rooms, pantry areas, the Conference Center, Business Center, Cafeteria, phone booths, their hotel or area restaurants.
  • Answer client questions concerning conference space, setup, and Conference Center capabilities.
Requirements:
  • 6+ months of prior reception or conference service experience in a law firm or hospitality environment required.
  • Communicate effectively with all levels of employees across all offices and multitask well.
  • Possess excellent customer service skills and demonstrate professional telephone etiquette and excellent verbal and written communication skills.
