At Smith College, we are seeking an exceptional Executive Administrative Coordinator to join our team. Located in Northampton, MA, we are one of the largest women's colleges in the country and are dedicated to excellence in teaching and research across the liberal arts.

This is a regular full-time position that offers a salary range of $60,000 - $70,000 per year, depending on experience. The successful candidate will be responsible for providing high-level administrative support to our team members, including scheduling appointments, coordinating meetings, and managing travel arrangements.

Key Responsibilities:

  • Provide administrative support to faculty and staff, including scheduling appointments, making travel arrangements, and preparing reports.
  • Coordinate meetings, events, and conferences, including arranging catering, technology, and space setup.
  • Manage office supplies, equipment, and inventory, ensuring that all necessary materials are available and in good working order.
  • Maintain accurate records, including filing, data entry, and tracking systems.
  • Develop and implement processes to improve office efficiency and productivity.

Requirements:

  • A minimum of 2-3 years of experience in an administrative role, preferably in an academic or higher education setting.
  • Excellent communication and interpersonal skills, with the ability to work effectively with diverse stakeholders.
  • Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple responsibilities.
  • Proficiency in Microsoft Office Suite and Google Workspace, with experience using learning management systems and student information systems.
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.

Preferred Qualifications:

  • An associate's or bachelor's degree in a related field, such as business administration or communications.
  • Experience working in a dynamic, fast-paced environment with multiple priorities and deadlines.
  • Familiarity with academic calendars, schedules, and deadlines, as well as knowledge of faculty, staff, and student roles and responsibilities.
