Role Overview:

The Administrative Operations Specialist will play a pivotal role in ensuring the smooth functioning of office activities while adhering to company policies and procedures.


Key Responsibilities:

  • Coordinate daily office operations to enhance efficiency and compliance.
  • Contribute to the development and implementation of office management principles and administrative practices.
  • Maintain and communicate office policies, workflows, and organizational structures.
  • Facilitate communication regarding office updates and events to team members.
  • Provide comprehensive administrative support for management meetings and events, including audio-visual setup and catering arrangements.
  • Assist in organizing employee engagement and volunteer activities.
  • Support the onboarding and offboarding processes for employees, including IT coordination and equipment management.
  • Establish regular communication with facilities management to address issues and updates.
  • Manage incoming correspondence, including letters and packages.
  • Oversee the maintenance of the office's digital repository and ensure proper document management.
  • Collaborate with finance to manage administrative cost approvals and payments.
  • Track and manage office supply inventory, ensuring timely orders as needed.
  • Foster relationships with external organizations for memberships and events.
  • Work with IT asset management to maintain accurate records of office equipment and facilitate timely replacements.
  • Coordinate with various divisions to support special events and audio-visual needs.
  • Continuously seek opportunities for process improvement through automation and visualization tools.
  • Assist the contracts and legal team in reviewing agreements such as NDAs and MSAs.
