Overview
This role serves as the primary point of contact for customers visiting the service department, ensuring exceptional service and accurately identifying the maintenance requirements of their vehicles.
Key Responsibilities
- Foster strong relationships with both current and prospective clients.
- Address customer inquiries and concerns, escalating to management when necessary.
- Organize and schedule appointments for the following day.
- Utilize the Xtime system to manage service bookings effectively.
- Respond to service inquiries and ensure timely follow-ups.
- Stay informed about monthly promotions and current service offerings.
- Maintain accurate service files and ensure they are prepared for final processing.
- Discuss alternative transportation options with clients as needed.
- Welcome customers, verify their information, and access their service history.
- Manage after-hours vehicle drop-offs and towed vehicles.
- Prepare vehicles for pickup and delivery, following established protocols.
- Promote service offerings to meet customer needs effectively.
- Provide clients with precise estimates and timelines for service completion.
- Secure customer signatures on repair orders and payment documents.
- Monitor the progress of repair orders and keep customers updated on any changes.
- Review repair orders for accuracy in billing and coding.
- Ensure all quality control measures are met before contacting customers.
- Follow up on outstanding repair orders and report to management as necessary.
- Achieve a customer satisfaction score above the national average.
- Capture and maintain customer email addresses for follow-up communications.
- Implement a follow-up system for special orders and future repairs.
- Keep the office environment organized and compliant with dealership standards.
- Ensure customer areas are well-maintained and stocked with necessary amenities.
- Handle cashier duties during vehicle pickups.
- Process various payment methods and ensure accurate financial reporting.
- Conduct daily cash drawer reconciliations and report discrepancies.
- Stay current with industry certifications and training requirements.
- Maintain compliance with all dealership policies and procedures.
- Exhibit a professional appearance and demeanor while on duty.
- Collaborate effectively with all dealership personnel.

Minimum Qualifications:

- Valid Driver's License.
