KEY RESPONSIBILITIES:

Support for Attorneys

Deliver outstanding client service by managing calls with professionalism and efficiency, providing assistance as necessary. Collaborate closely with attorneys, paralegals, and clients to facilitate smooth communication and information transfer. Oversee the management of client-specific data to enhance the quality of interactions. Prioritize and manage the workflow of assigned tasks and projects to meet deadlines, coordinating with other support services as needed. Organize attorney calendars and assist in meeting critical deadlines, including those related to tax matters and client meetings, while coordinating travel arrangements. Draft legal documents, memoranda, and correspondence from initial drafts or dictated text. Create, edit, format, and proofread documents, spreadsheets, and presentations with meticulous attention to detail. Provide primary support to multiple attorneys while also offering backup and coverage for other Client Service Specialists as needed. Transmit legal documents and correspondence to clients and relevant parties through various methods including electronic filing and email. Process new business requests in collaboration with the New Business Intake Team, including opening new matters and maintaining client case files. Maintain a comprehensive calendar of critical deadlines, ensuring accurate tracking of all necessary dates.

Team Collaboration

Proactively engage with Legal Team Assistants to accomplish shared tasks. Work in conjunction with resources such as the Attorney Resource Center to complete projects efficiently. Adhere to all firm policies and procedures while maintaining confidentiality and professionalism.

ADDITIONAL RESPONSIBILITIES:

Perform other related duties as assigned.

QUALIFICATIONS:

Education:

An Associate's Degree is preferred; a Bachelor's Degree is advantageous; relevant work experience may be considered in lieu of formal education.

Experience:

A minimum of three (3) years of relevant experience in a law firm or legal department is required.

Skills and Competencies:

Ability to effectively gather and summarize data for reports and resolve various administrative challenges while prioritizing tasks. Demonstrated initiative in managing multiple priorities in a fast-paced, detail-oriented environment. Excellent verbal and written communication skills, with a high level of interpersonal skills for handling sensitive situations. A professional demeanor and appearance, exhibiting poise, tact, and diplomacy. Capacity to maintain confidentiality and deliver exceptional customer service to clients and contacts. Proficiency in legal terminology and experience in relevant practice areas. Familiarity with court and administrative agency filings and related deadlines. Competence in using standard office equipment and software, including the MS Office Suite. Keyboarding skills of 60 wpm or higher are required.

WORK ENVIRONMENT:

This position operates in a standard office setting, utilizing typical office equipment.

PHYSICAL REQUIREMENTS:

Medium Work: Involves physical exertion to lift, carry, push, or pull objects weighing between 20 to 50 pounds frequently.

VISUAL ACUITY:

The role requires close visual acuity for tasks such as preparing and analyzing data, transcribing, and extensive reading.
