Client Service Specialist in Tax and Wealth Management

As a vital member of the Client Services Team (CST), the Client Service Specialist (CSS) plays a crucial role in delivering exceptional legal administrative support to a group of attorneys. This position involves executing complex administrative tasks while leveraging specialized knowledge within the designated practice areas. The CSS collaborates effectively with colleagues in a team-oriented setting to ensure the highest quality of service for both internal and external clients.

KEY RESPONSIBILITIES:
Attorney Support
- Deliver outstanding client service by promptly answering and screening calls while providing necessary client assistance.
- Collaborate closely with attorneys, paralegals, and clients to guarantee a smooth flow of information.
- Facilitate the management of client-specific data to enhance personalized interactions.
- Oversee the workflow of assigned tasks and projects, prioritizing incoming requests to meet deadlines and coordinating with other support services.
- Manage attorney schedules and assist in meeting critical deadlines, including tax-related timelines and client meetings, while coordinating travel arrangements as needed.
- Draft legal documents, memoranda, and correspondence from initial drafts or dictated notes.
- Create, edit, format, and proofread documents, spreadsheets, and presentations with meticulous attention to detail.
- Support multiple attorneys as the primary assignment and provide additional assistance, backup, and coverage for other CSS members.
- Transmit legal documents, memoranda, and correspondence to clients, witnesses, and court officials through various channels.
- Process new business requests by collaborating with the New Business Intake Team, including opening new matters and maintaining client case files.
- Maintain a calendar of critical deadlines and ensure accurate tracking of important dates, including tax-related deadlines.
Collaboration and Teamwork
- Proactively engage with Legal Team Assistants to achieve common goals.
- Work in conjunction with resources, including the Attorney Resource Center, to complete projects and tasks efficiently.
- Adhere to all firm policies, procedures, and guidelines while ensuring confidentiality is maintained.
ADDITIONAL DUTIES:
- Perform other related responsibilities as assigned.
QUALIFICATIONS:
Education:
- Preferred: Associate's Degree; Bachelor's Degree is a plus; relevant work experience may be considered in lieu of a degree.
Experience:
- Minimum of three (3) years of relevant experience in a law firm or legal/corporate department is required.
Knowledge, Skills, & Abilities:
- Ability to effectively gather and summarize data for reports, solve various administrative challenges, and prioritize tasks.
- Exhibit a high degree of initiative in managing multiple priorities in a fast-paced, detail-oriented environment.
- Possess excellent verbal and written communication skills, with strong interpersonal abilities to handle sensitive situations.
- Maintain a professional demeanor and appearance, demonstrating poise, tact, and diplomacy.
- Ensure the highest level of confidentiality while providing exceptional customer service to all clients and contacts.
- Demonstrated proficiency in legal terminology and experience in relevant practice areas.
- Familiarity with court and administrative agency filings and associated deadlines.
- Proficient in using various office equipment, including personal computers and standard office software.
- Keyboarding skills of 60 wpm or higher are required.
- Intermediate-level proficiency in the MS Office Suite, including Outlook, Word, Excel, and PowerPoint.
WORK ENVIRONMENT:
- This position operates in a standard office environment, utilizing typical office equipment.
PHYSICAL REQUIREMENTS:
Medium Work: Involves exerting physical strength to lift, carry, push, pull, or otherwise move objects weighing between 20 to 50 pounds frequently.
VISUAL ACUITY:
Requires close visual acuity for activities such as preparing and analyzing data, transcribing, and extensive reading.
