Position Summary:

The Scheduling Coordinator is tasked with collecting operational data and scheduling requirements from department leaders across various venues. This role involves creating precise work schedules for staff based on the organization's needs. The individual must proficiently input schedules into the HRIS system and manage employee absences, ensuring adequate coverage at all times.

Key Responsibilities:

  • Collaborate with department heads to fulfill scheduling requirements by optimizing employee schedules across multiple venues.
  • Engage with staff to address and resolve any staffing-related concerns.
  • Assist in the development of policies and procedures aimed at enhancing the efficiency of employee check-in processes on event days.
  • Work closely with the Staffing Specialist and hiring managers to maintain appropriate staffing levels.
  • Analyze labor needs using financial and HRIS reports, aligning staffing with budgetary constraints.
  • Oversee time-off requests and coordinate with managers to ensure sufficient staffing.
  • Track employee attendance and manage disciplinary actions related to attendance issues as necessary.
  • Maintain a thorough understanding of compliance requirements, including labor laws, and communicate these effectively to staff.
  • Be present at significant events, which may require a flexible work schedule, including nights, weekends, and holidays.
  • Ensure adherence to all company policies and legal regulations.
  • Perform additional duties as assigned.

Qualifications:

Education and Experience:

A minimum of a High School Diploma or GED is required, along with 1-3 years of experience in high-volume scheduling, preferably in a hospitality setting. A Bachelor's degree in Business Administration, Finance, Accounting, or a related field is preferred.

Skills:

  • Exceptional verbal and written communication skills.
  • Strong organizational abilities and attention to detail.
  • Proficient in Google Workspace and Microsoft Office.
  • Experience with HRIS systems is advantageous.
  • Bilingual proficiency in Spanish is a plus.

Working Conditions:

This position involves both office work and outdoor activities during events, requiring adaptability to varying weather conditions.
