The Aloft at OSU is seeking a dedicated Sales and Service Administrator.

Compensation for this role ranges from $16.00 to $18.00 per hour, based on experience.

Position Objective: To provide essential administrative support to the sales department, including assistance to the Director of Sales as required.

Key Responsibilities:

  • Review and manage contracts, ensuring they are routed for approval as necessary; prepare copies for corporate review.
  • Assist with group setup and rate loading in the property management system for group business.
  • Distribute group resumes and/or Banquet Event Orders (BEOs) for completion and review prior to meetings.
  • Compile and prepare materials for staff meetings.
  • Maintain and distribute the Group Resume Checklist for sales meetings.
  • Organize and maintain group and permanent files.
  • Act as the primary contact for designated accounts, ensuring accurate processing of purchase orders.
  • Coordinate with the corporate office for approvals related to billing applications.
  • Maintain sales files and ensure accurate record-keeping for group information.
  • Respond to inquiries from potential clients and forward information to the appropriate sales manager.
  • Assist with booking short-term and social group reservations as per established guidelines.
  • Update hotel information for sales packets and manage inventory of sales materials.
  • Support the Director of Sales with various reports and marketing initiatives.
  • Conduct hotel tours for prospective clients when sales managers are unavailable.
  • Ensure showroom needs are met, coordinating with housekeeping as necessary.
  • Assist with reservation-related duties as required.
  • Manage billing information and ensure accurate documentation for accounts.
  • Assist in keeping the sales department informed of new programs and updates.
  • Collaborate with other hotel departments to enhance customer service.
  • Maintain office supplies and assist with special projects as needed.

Qualifications: The ideal candidate will possess strong communication skills, both verbal and written, and be able to work effectively in a team environment with minimal supervision. Basic computational skills and familiarity with accounting software are essential. Knowledge of sales techniques and market trends is beneficial.

Education and Experience: A high school diploma is required; a college degree is preferred. Previous experience in the hospitality industry is advantageous.

Language Skills: Proficiency in English is required, with the ability to communicate effectively with a diverse range of individuals.

Technical Skills: Basic computer skills, including proficiency in Microsoft Office applications, are necessary. Familiarity with standard office equipment is also required.

Customer Service Focus: Providing exceptional service to guests is paramount. All associates are expected to maintain professionalism and treat guests and colleagues with respect.

Work Habits: A commitment to upholding hotel standards in work procedures, appearance, and punctuality is essential. Adaptability and a willingness to learn are key attributes for success in this role.
