Job Objective:
Your primary responsibility will be to provide administrative support to the sales department, assisting the Director of Sales as necessary.
Key Responsibilities:
- Support in Sales, Catering, Conference Services, Reservations, and Administrative tasks.
Specific Duties Include:
1. Merging contracts and preparing documents for Director of Sales approval.
2. Setting up groups and loading rates in the OnQ system for group business.
3. Distributing group resumes and/or Banquet Event Orders (BEOs) for completion and review.
4. Compiling materials for staff meetings and maintaining group files.
5. Acting as a liaison with designated accounts for rooming lists and ensuring purchase orders are processed correctly.
6. Collaborating with the corporate office for Direct Bill applications and maintaining proper documentation.
7. Keeping sales files organized and ensuring accurate group information is recorded.
8. Assisting with lead retrieval and responding to inquiries from various sources.
9. Managing showroom needs and coordinating with housekeeping to ensure room readiness.
10. Assisting with reservations-related duties as needed.
Qualifications:
To be successful in this role, candidates should possess:
- Strong communication skills, both verbal and written.
- Ability to work effectively in a team environment with minimal supervision.
- Basic computational skills and familiarity with accounting software.
- Knowledge of sales techniques and competitive market analysis.
- High School Diploma required; college education preferred.
- Previous hotel experience is advantageous.
Language Skills:
Proficiency in English is essential, with the ability to communicate effectively with diverse staff and clientele.
Technical Skills:
Basic computer skills, including proficiency in Microsoft Word and Excel, are required. Familiarity with standard office equipment is also necessary.
Customer Service:
Delivering exceptional customer service is paramount. All associates are expected to maintain professionalism and treat guests with respect at all times.
Work Habits:
Maintaining high standards for work procedures, appearance, and punctuality is crucial. Adaptability and a willingness to learn new skills are essential for success in this role.
