Primary Duties:
  • Oversee and synchronize daily office functions and operations to guarantee effectiveness and adherence to organizational policies.
  • Respond to and redirect phone inquiries, emails, and other communication forms.
  • Arrange and schedule meetings, appointments, and travel logistics for upper management.
  • Draft and circulate agendas, meeting notes, and other pertinent documents.
  • Maintain an organized filing system for both physical and electronic documents.
  • Address administrative requests and inquiries from senior leadership.
  • Assist in the compilation of regularly scheduled reports.
  • Create and sustain a contact database.
  • Procure office supplies and investigate new vendors and pricing options.
  • Uphold office policies and procedures.
  • Provide general assistance to visitors.
  • Collaborate with executive and senior administrative personnel to manage requests and inquiries from senior leadership.
  • Support various projects and additional tasks as assigned by management.
Requirements:
  • High school diploma or equivalent; additional credentials as an Office Coordinator or Secretary are advantageous.
  • Demonstrated experience as an Office Coordinator, Virtual Assistant, or Administrative Support.
  • Familiarity with office management systems and procedures.
  • Proficiency in MS Office Suite (particularly MS Excel and MS PowerPoint).
  • Exceptional time management abilities and the capacity to prioritize tasks effectively.
  • Meticulous attention to detail and strong problem-solving capabilities.
  • Outstanding written and verbal communication skills.
  • Robust organizational skills with the ability to handle multiple tasks simultaneously.
  • Capability to work autonomously as well as collaboratively within a team.
