Position Summary

The Front Desk Coordinator at Marin City Health & Wellness Center plays a vital role in ensuring a welcoming environment for all patients and staff. This position emphasizes exceptional patient care follow-up and adherence to the Sliding Fee Discount Program. The Coordinator is expected to comply with all established protocols and workflows during the patient's visit.

Key Responsibilities

  • Welcome all patients with a warm smile and friendly demeanor.
  • Arrange follow-up appointments for patients.
  • Process applications for the Medical Sliding Fee Scale in accordance with established policies.
  • Collect and monitor co-payments, Sliding Fee Discount fees, or nominal fees.
  • Document payments in the Electronic Health Record (EHR) system and issue receipts to patients.
  • Confirm demographic and insurance details in the EHR system during each patient interaction.
  • Ensure all patients, both scheduled and unscheduled, are checked for eligibility and that all information is accurately recorded.
  • Assist in the completion and signing of registration and other necessary forms by every patient.
  • Support patient reception and client intake processes.
  • Oversee patient flow from the front desk to the clinical areas.
  • Adhere to all procedures outlined in the Sliding Fee Policy and accurately document all required actions.
  • Maintain the cleanliness and organization of waiting areas and the reception desk.
  • Ensure all charge tickets are processed at the end of the business day.
  • Provide assistance to Receptionists by answering incoming calls with a cheerful greeting when needed.
  • Record instances of no-shows and cancellations in the EHR system.
  • Direct patient messages to the appropriate clinical staff.
  • Schedule appointments with the relevant clinician based on established practices.
  • Secure daily cash in the designated area according to money handling protocols.
  • Enroll patients in Family Pact, CHDP, or other Medi-Cal programs.
  • Exhibit punctuality and maintain reliable attendance.
  • Perform additional duties as assigned.

Qualifications

  • High school diploma or equivalent.
  • Familiarity with standard office procedures and policies.
  • Proficient in computer use; typing speed of at least 40 WPM.
  • Possess a positive attitude, be a team player, and follow supervisory directions.
  • Understand and promote the mission, vision, and values of the health center in both workplace and community settings.
  • Sensitivity to the diverse needs of a multicultural population across various income levels.
  • Able to manage multiple tasks effectively.
  • Exceptional customer service skills and the ability to address dissatisfied patients respectfully.
  • Experience in a medical office or Federally Qualified Health Center (FQHC) setting.
  • Thorough knowledge of programs, insurance, and eligibility guidelines, including Medi-Cal, CHDP, CPSP, Presumptive Eligibility, Family Pact, and Sliding Scale.
  • Strong organizational, writing, and verbal communication skills.
  • Proficiency in English is required; Spanish proficiency is preferred.
  • Able to interpret various instructions provided in written, oral, diagram, or schedule formats.

Equipment Used: Fax machine, copier, personal computer, telephone, calculator, Microsoft Word/Excel, EHR system, and other necessary software.

  • Ability to alternate between standing and sitting based on daily needs, with approximately 20% of time spent on feet and 80% seated.
  • Occasional need to bend, climb stairs, push or pull, and reach above shoulder height.
  • Frequent need to perform standing and walking activities.
  • Constant need for writing, typing, and fine motor skills.
  • Occasional lifting/carrying of items over 10 pounds; frequent lifting/carrying of items under 10 pounds.

Vision Requirements: Constant need to complete forms, read reports, and view computer screens, with frequent need to see small details and items beyond arm's reach.

Hearing Requirements: Constant need to communicate effectively over the telephone and in person.

Work Environment: The noise level in the work environment is typically moderate.
