Job Overview

Position: Facility Manager

Role Summary: The Facility Manager is responsible for the upkeep and management of the organization's premises and equipment, ensuring a safe and efficient working environment. This includes negotiating service contracts, overseeing contractors, conducting safety inspections, and coordinating facility renovations and improvements. The Facility Manager will also manage space rentals and volunteer initiatives.

Key Responsibilities:

Facility Oversight

  • Maintains operational efficiency by managing building and grounds maintenance.
  • Collaborates with contractors for project execution and contract management.
  • Ensures cleanliness and upkeep by scheduling and supervising cleaning services.
    • Orders necessary supplies.
    • Performs cleaning tasks as needed.
  • Coordinates and supervises maintenance and repair activities, assisting with equipment installation and servicing.
  • Ensures building safety:
    • Acts as the primary contact for emergency services and security systems.
    • Conducts and documents regular facility inspections.
    • Communicates safety protocols to staff.
  • Manages facility scheduling and calendar.
  • Informs staff about upcoming events and facility updates.
  • Distributes keys and access fobs to staff, renters, and contractors.
  • Oversees facility rentals:
    • Acts as the main contact for lease agreements and tenants.
    • Schedules and manages meeting spaces, including contracts and payments.
    • Coordinates group and volunteer activities, tracking volunteer hours.

Management of Organizational Assets

  • Oversees the management of organizational vehicles.
  • Collaborates with telecommunications providers.
  • Handles IT management, including the distribution of technology resources.
  • Ensures general maintenance of office equipment and schedules servicing as required.
  • Supervises onsite IT volunteers.

Qualifications and Skills:

  • High School Diploma or equivalent.
  • 2-3 years of experience in facilities management or related fields.
  • Able to work full-time hours.
  • Knowledge of OSHA and safety regulations.
  • Highly organized, self-motivated, and detail-oriented.
  • Excellent communication and negotiation skills.
  • Strong customer service orientation.
  • Familiarity with general maintenance, IT, and equipment management.
  • Basic understanding of accounting principles.
  • Availability for occasional evenings and weekends.
  • Valid driver's license.
  • Must be vaccinated against Covid-19 or willing to comply with testing requirements.
