Job Overview

BENQ AMERICA CORP is seeking an Office Administrator to join their team in Costa Mesa, CA. This entry-level position requires someone who is exceedingly well-organized, has strong multitasking skills, and enjoys the administrative challenges of supporting a fast-paced organization.

The successful candidate will be responsible for executing both routine and non-routine administrative assignments, providing overall administrative support to ensure smooth day-to-day operations of the Human Resources department.

Duties & Responsibilities:

  • Opening and preparing office facilities for staff and visitors daily
  • Answering, screening, and directing incoming calls in a timely and professional manner
  • Sending, receiving, sorting, and distributing mail and packages
  • Maintaining consistent organization and cleanliness of the general office, front lobby area, and conference rooms
  • Maintaining and updating office lists, such as phone directories, seating charts, vehicle usage logs, badge logs, and parking validation logs
  • Coordinating and planning company-wide events and employee team activities
  • Keeping inventory of office and kitchen supplies, restocking supplies, and placing orders when needed
  • Processing invoices for office expenses and maintaining HR financial records
  • Assisting with new hire onboarding and orientation programs, managing and processing employee paperwork, and completing I-9 verification and background checks
  • Supporting domestic and international travel arrangements; preparing and processing expense reports ensuring adherence to established travel policy guidelines
  • Compiling and organizing expense spreadsheets
  • Organizing and preparing cubicles for new hires and coordinating return of equipment and termination paperwork for ex-employees
  • Performing other administrative duties and special projects as assigned
