Position Summary
The Office Administrator is responsible for ensuring the prompt and precise input of data related to accounts payable, accounts receivable, and revenue management for a designated parking facility. This role is crucial for maintaining accurate reporting, reconciliations, and payment processes.

Key Responsibilities

  • Conduct daily audits of tickets, enter revenue data, and reconcile with bank verifications.
  • Manage daily validation inputs and submit necessary forms by the designated deadline.
  • Oversee the enrollment of new monthly contract parkers, manage their accounts, and facilitate payment collections.
  • Maintain aged trial balances for contract parkers and follow up on overdue accounts.
  • Process incoming mail and direct it to the appropriate personnel.
  • Ensure consistency between billing and access systems, conducting audits as needed.
  • Maintain allocation spreadsheets for the location.
  • Alert management to any issues with ticket processing and provide necessary support.
  • Prepare deposit correction forms and supporting documentation for timely submission to management.
  • Assist management with breaks and notify them when office supplies are low.

Additional Responsibilities

  • Support new location openings or closures as required.
  • Generate special reports as requested by management.
  • Act as Office Manager in their absence.
  • Assist in maintaining parking equipment and undertake special projects as assigned.
  • Provide support for special requests and projects as needed.

Qualifications

High school diploma or GED is required.

Two to three years of experience in data processing, accounts receivable, accounts payable, and revenue management.

Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.

Strong oral and written communication skills are essential.

Preferred Qualifications

  • Experience with accounting software such as QuickBooks or Peachtree.
  • Background in the parking or property management industry is advantageous.

Physical Requirements
The role involves standing, walking, sitting, using hands and fingers, reaching, talking, and hearing. The employee may occasionally lift and/or move objects weighing up to 25 lbs.
