We are currently seeking a Client Relations Specialist to join our team in Miami. This role involves leveraging administrative, marketing, communication, and technical skills to support the assigned Brokerage Team, contributing to the achievement of both team and individual business objectives. The position includes facilitating essential client communications, which may involve reaching out to clients through various electronic means, written correspondence, or phone interactions.

KEY RESPONSIBILITIES

  • Engage with clients as required by brokers.
  • Provide administrative and graphic support in the creation of client prospect presentations and pitches.
  • Update and maintain complex stacking plans.
  • Coordinate meetings, both on-site and off-site, including scheduling appointments, managing calendars, and organizing travel itineraries and meeting room bookings.
  • Perform accounting tasks, which may involve preparing expense reports, invoices, and billing statements.
  • Possess knowledge of the commercial real estate sector and its terminology, including basic understanding of leases, commission agreements, Requests for Proposals (RFPs), Requests for Information (RFIs), and Letters of Intent (LOIs).
  • Ensure consistency in Savills branding, product messaging, and client communications by applying templates to create marketing materials such as flyers, proposals, tour books, maps, floor plans, and qualification packages.
  • Utilize LinkedIn and other sales management or marketing tools to assist brokers in tracking pertinent information.
  • Maintain and update various information databases.
  • Manage marketing email communications directed at clients and prospects.
  • Collaborate with other Associates/Coordinators on larger projects during periods of downtime or as directed by the Office Administrator or Branch Manager.

QUALIFICATIONS

  • Ability to effectively communicate and interact with brokers, staff, vendors, and clients.
  • Proficiency in Microsoft Office and Adobe platforms.
  • Assist the team daily with Microsoft Office Suite, InDesign, and PowerPoint deliverables, including but not limited to pitch books and RFPs.
  • Review documents for grammatical accuracy and structural integrity.
  • Accurately prepare marketing materials, building maps, reports, tour books, and presentation materials, often under tight deadlines.
  • Consistently demonstrate a high level of performance and professionalism.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Excellent command of the English language, both verbal and written.
  • Maintain discretion and demonstrate sound decision-making abilities.
  • Exhibit a strong attention to detail.
  • Self-motivated with strong time management skills.
  • Possess a strong work ethic and a positive attitude.
  • Ability to adapt to company-specific software.
  • Work effectively with a diverse group of internal and external stakeholders at all organizational levels, fostering collaboration across all business lines.

PREFERRED EDUCATION AND EXPERIENCE

  • A minimum of 15 years of experience in a real estate role.
  • Strong proficiency with Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Experience with Adobe Creative Cloud (InDesign, Illustrator, and Photoshop) is preferred.
  • Excellent organizational and time management skills; ability to prioritize workload and meet deadlines in a dynamic environment.
  • Any combination of education, training, and experience that demonstrates the ability to perform the duties of the position.
