We are seeking an experienced Administrative Specialist to provide high-level administrative support to our clinical, academic, and research teams. The successful candidate will possess excellent communication and organizational skills, with the ability to work independently and as part of a team.
Key Responsibilities- Provide administrative support to directors, department managers, clinicians, and faculty members
- Manage meeting planning and schedules for individuals and teams
- Liaise between patient and clinical staff to provide scheduling support
- Draft communications for department members and individuals
- Manage data entry, email, and phone communication with internal and external teams
- Prepare general correspondence, letters of recommendation, and presentation preparation and editing
- Coordinate travel arrangements and financial responsibilities, including P-Card charge review and reconciliation
- Identify and escalate areas of need regarding workflows to supervisors
- Participate in training and onboarding new staff
- High school diploma required; Bachelor's degree preferred
- 3 years of relevant experience
- Strong written and oral communication skills
- Proficient knowledge of computer applications, including Microsoft Office Suite and Google Suite
- Exceptional customer service skills and ability to interact professionally with peers, leadership, and external contacts
