General Summary

This role involves assisting with accounting and regulatory reporting obligations associated with excise taxes, focusing primarily on energy products and heavy vehicles. Responsibilities include preparing monthly excise tax returns for Southern States and its member cooperatives, ensuring reconciliation with the general ledger. The position also entails reviewing general ledger transactions, preparing necessary journal entries, and reconciling accounts at month-end. Monitoring changes in tax legislation and rates related to excise taxes is crucial, along with conducting detailed tax research to ensure compliance with federal, state, and local excise tax regulations. Support for system maintenance in response to changes in these requirements is also part of the role.

Essential Job Functions

1. Prepare federal and state excise tax returns for Southern States and its member cooperatives, utilizing Avalara software, and ensure accurate reconciliation with the general ledger.

2. Monitor daily activities in purchase order tax accounts to address any issues, ensuring timely reporting of transactions on returns. Collaborate with management to resolve processing and tax billing issues with vendors, and prepare journal entries as necessary.

3. Conduct monthly reconciliations for excise tax general ledger accounts.

4. Record any refunds due from tax authorities and assist in resolving discrepancies.

5. Stay informed on changes in federal, state, and local excise tax laws and rates, providing detailed research to ensure compliance. Assist in updating excise tax rates in the point of sale system.

6. Efficiently use and maintain the point of sale system to meet regulatory reporting requirements.

7. Provide timely assistance to Southern States locations and member cooperatives regarding excise tax inquiries or issues.

8. Support excise tax audits as required.

9. Perform additional duties as assigned by management.
