The Administrative Support Specialist plays a crucial role in delivering specialized clerical, administrative, and secretarial services within a designated department.
Key Responsibilities:
- Responds to telephone inquiries and welcomes visitors; provides information or directs requests to the appropriate staff; manages incoming calls and records messages; addresses emails and faxes as needed.
- Utilizes data entry systems and various software applications to input, maintain, and retrieve information; ensures that files and records are accurate and up-to-date; performs scanning and copying of documents as required.
- Handles incoming and outgoing correspondence, including preparing copies and organizing materials; distributes mail to the relevant department or personnel.
- Manages daily cash drawer reconciliations and prepares related financial reports on a regular basis.
- Supervises the registration and titling of motor vehicles; processes registration renewals and generates daily reports.
- Collects property taxes and ensures accurate posting of tax payments as necessary.
- Assists in the distribution of disability placards, license plates, and specialty tags.
- Manages public inquiries via phone, processes renewal and title mail, and accepts various payments from the public, including tax and vehicle-related payments.
- Calculates and adjusts accounts in accordance with court orders.
- Handles dealer transactions for the titling of sold and leased vehicles.
- Oversees clerical tasks related to the collection of ad valorem taxes, inventory management, issuance of temporary tags, and handicap placards.
Performs additional related duties as assigned.
Minimum Qualifications:
High School Diploma or GED with at least one year of relevant experience; or an equivalent combination of education and experience is required. Completion of some college coursework is preferred. Specific certifications related to the area of assignment may be necessary for this role.
