Job Summary

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at American Equipment HR LLC. As an Administrative Support Specialist, you will provide administrative support to our office staff, ensuring the smooth operation of our daily activities.

Key Responsibilities
  • Provide administrative support to the office staff, including answering phone calls, responding to emails, and preparing correspondence.
  • Process invoices, maintain accurate records, and perform other administrative tasks as needed.
  • Assist with job creation and maintenance, including data entry and record-keeping.
  • Perform cost analysis and other financial tasks as required.
  • Collect and process time entry, ensuring accurate and timely submission.
  • Interface with sales and accounting departments to ensure seamless communication and collaboration.
  • Perform other work-related duties as assigned by management.
Requirements
  • High School Diploma (or equivalent) required.
  • Knowledge and proficiency in basic computer software skills, including Microsoft Office.
  • Ability to answer multi-line phone systems with ease.
  • Proven initiative and a positive attitude.
  • Highly dependable and able to work independently.
  • Pass a drug test and submit to a background check.
Preferred Skills
  • Excellent Microsoft Office skills, including Word, Excel, and Outlook.
  • Ability to multitask and prioritize tasks effectively.
  • Good customer service skills and a team player attitude.
  • Strong attention to detail and self-motivation.
Work Environment

This is a full-time position in an office environment, with typical work hours and days being Monday through Friday, 8:00 a.m. to 5 p.m.

While performing the duties of this job, the employee is frequently required to sit and talk or hear, use hands to finger, grasp, handle, feel or operate objects, tools or controls. The employee is occasionally required to balance, stoop, kneel, crouch, reach with hands and arms, walk; lift push or pull objects up to 20 pounds. Hand-eye coordination necessary to operate computers and various pieces of office equipment. Specific vision abilities required by this job include close vision and the ability to adjust focus.
