Job Overview
POSITION SUMMARY

Pyxai, Inc. is in search of a committed Client Relations Specialist to assist our financial consultants in delivering outstanding service to our clientele. This role serves as a support system for one or more financial advisors, facilitating their efforts to maintain strong client relationships. The ideal candidate will assist financial professionals with various tasks, which may or may not involve direct client interaction. Responsibilities may encompass both administrative and clerical duties.

ROLE RESPONSIBILITIES

The Client Relations Specialist will engage in a variety of tasks aimed at enhancing advisor-client interactions to ensure client satisfaction. You will collaborate with other departments to prepare documentation prior to client meetings, organize sales presentations, compile meeting notes, and set up client access for new accounts. Daily activities will also include managing administrative tasks such as responding to inquiries, sending reminders to consultants, and updating client records.

KEY DUTIES
  • Compile and update essential documents and agreements.
  • Prepare materials for presentations.
  • Gather and record meeting notes into client files.
  • Process all client information and transactions efficiently.
  • Create new accounts and oversee client portfolios.
  • Perform necessary administrative and clerical tasks.
  • Address client inquiries regarding products and services.
  • Schedule meetings between advisors and clients.
  • Draft communications on behalf of advisors.
  • Log and monitor customer interactions via calls or emails.
  • Maintain databases of client information for advisors.
  • Document and resolve client complaints.
  • Organize and file client documentation.
Qualifications & Skills
ESSENTIAL REQUIREMENTS
  • High school diploma or equivalent; an associate or bachelor's degree in business, finance, or a related field is preferred.
  • Experience in a Client Services role or similar administrative position within the financial sector is advantageous.
  • Proficiency in Microsoft Office Suite.
  • Strong communication and organizational abilities.
  • Attention to detail.
  • Ability to work independently.
  • Exceptional customer service skills.
