Accounts Payable Coordinator

Job Summary:
This entry-level position as an Accounts Payable Coordinator will process transactions accurately and provide financial, administrative, and clerical support by ensuring payments are completed and all expenses are controlled. The role involves receiving payments, processing, verifying, and reconciling invoices according to established policies and procedures in an efficient, timely, and accurate manner.
Responsibilities:
- Perform day-to-day financial transactions, including verifying, classifying, computing, posting, and recording accounts payable data.
- Process bills, invoices, and bank deposits.
- Reconcile the accounts payable ledger to ensure that all payments are accounted for and properly posted.
- Verify discrepancies and resolve clients' billing issues.
- Facilitate payment of invoices due by sending bill reminders and contacting clients.
- Generate financial statements and reports detailing accounts payable status.
- Resolve customer requests, questions, and complaints; provide information to improve customer service.
- Conduct inquiries on customer satisfaction; report information using recommended tools and forms.
- Develop and maintain office forms and procedures and assist with administrative tasks.
- Answer the central telephone system and direct calls accordingly.
- Prepare outgoing mail; sort and distribute incoming mail.
- Duplicate and distribute materials.
- Compose, type, and edit correspondence, reports, memoranda, and other material.
- Serve as a role model to foster superb customer service.
- Complete clerical work for administrative personnel; open, deliver, and forward mail; transcribe materials; record appointments and meetings for administrative staff; file necessary documents.
- Alert specified individuals and agencies in case of emergencies; assemble material for reports and questionnaires.
- Routine clerical, secretarial, and administrative work in answering telephones, providing customer assistance, data processing, and record-keeping.
