The Patient Registration Specialist is responsible for performing essential clerical tasks related to patient registration, including collecting necessary insurance and demographic details, as well as securing appropriate referrals or authorizations for patient appointments. This role collaborates closely with the Business Office and Front Desk Team Lead to prioritize customer service during check-in and ensure all daily responsibilities are fulfilled efficiently and accurately. Keeping up-to-date reference materials on insurance plans is also a critical aspect of this position.

Key Responsibilities

  • Welcomes and registers visitors and vendors at the clinic following established protocols, directing them to the correct locations. Ensures the clinic opens punctually according to the checklist and is adequately staffed to handle daily patient volume.
  • Aims for outstanding customer service by treating patients and visitors with professionalism and courtesy at all times. Monitors the waiting area to ensure patients are accommodated and keeps them informed about estimated wait times. Provides assistance to patients or visitors as needed.
  • Maintains current reference materials on insurance plans as provided by management.
  • Investigates insurance information supplied by patients to accurately identify participation with our clinic and understand referral requirements.

Qualifications

  • A High School Diploma or equivalent is mandatory.
  • At least 1 year of experience in a customer-facing service role; experience in a medical office reception is advantageous.
  • Proficient in Microsoft Office Suite or similar software, including scheduling and medical records applications. Ability to quickly adapt to a multi-line phone system is essential.
  • Core competencies include customer service, interpersonal communication, teamwork, punctuality, and confidentiality.

Physical Requirements

  • The work environment is typical of an office setting. The employee must effectively perform their duties amidst various distractions, including staff, patients, and vendors interacting, phone calls, and other interruptions.
  • While fulfilling the responsibilities of this role, the employee is frequently required to sit and use their hands for up to 8 hours a day. They must also be able to communicate clearly and effectively. Occasional standing, walking, reaching, and bending may be required.
  • The employee may occasionally lift and/or move items weighing up to 25 pounds safely. Specific vision abilities required for this position include close vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
