The Patient Registration Specialist is responsible for essential clerical tasks related to patient registration, including collecting necessary insurance and demographic details, as well as securing appropriate referrals or authorizations for patient appointments. This role collaborates closely with the Business Office and Front Desk Team Lead to prioritize customer service during check-in and ensure all daily responsibilities are fulfilled efficiently and accurately. It is crucial to maintain current reference materials on insurance plans as provided.
Key Responsibilities
- Welcomes and checks in patients and visitors according to established protocols, directing them to the appropriate areas within the clinic. Ensures the clinic opens on time, following the established checklist, and is adequately staffed to handle daily patient volume.
- Aims for outstanding customer service by ensuring that patients and visitors are treated with professionalism and courtesy at all times. Monitors the waiting area to ensure patients are being accommodated and keeps them informed of estimated wait times. Provides assistance to patients or visitors facing challenges.
- Keeps up-to-date reference materials on insurance plans as provided by management.
- Investigates insurance information provided by patients to accurately identify participation with our organization and referral requirements.
Qualifications
- A High School Diploma or equivalent is required.
- At least 1 year of experience in a customer-facing service role; experience in a medical office reception setting is a plus.
- Proficient in Microsoft Office Suite or similar software, scheduling, and medical records applications. Ability to quickly learn a multi-line phone system.
- Core competencies include customer service, interpersonal skills, communication, teamwork, attendance/punctuality, and confidentiality.
Physical Requirements
- The work environment is typical of an office setting. The employee must be able to perform their duties satisfactorily in an environment with significant distractions, including staff, patients, and vendors moving through and conversing, ringing telephones, and other interruptions.
- While performing the duties of this position, the employee is frequently required to sit and use their hands to handle objects, tools, or controls for up to 8 hours a day. The employee must also be able to communicate effectively and may occasionally need to stand, walk, reach with hands and arms, and bend or kneel.
- The employee may occasionally lift and/or move up to 25 pounds safely. Specific vision abilities required include close vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
