JOB SUMMARY
The Senior Patient Access Coordinator plays a crucial role in ensuring effective communication with patients and healthcare providers in a timely and professional manner, both verbally and electronically. Acting as the initial point of contact for VIP patients and providers, this role involves managing urgent referrals and web appointment requests, thereby creating a positive impression for UofL Physicians while adhering to clinic operating standards in scheduling patient appointments.

JOB RESPONSIBILITIES
  • Provide exceptional customer service by answering all incoming calls with a focus on compassionate, patient-centered care.
  • Schedule appointments for new, returning, internal employees, and referring provider VIP patients across multiple groups.
  • Review and manage incoming website appointment requests in a concierge style, serving as a single point of contact for patients to facilitate timely scheduling across the organization.
  • Accurately schedule patient appointments in alignment with physicians' templates and guidelines using access center technologies.
  • Regularly monitor scheduling compliance through guided schedule documents.
  • Identify appropriate physicians for all non-directed referrals.
  • Reschedule appointments as necessary using proper functions.
  • Address non-clinical patient inquiries or transfer them to the appropriate clinical personnel.
  • Set clear expectations for patients regarding their visits to ensure an excellent experience.
  • Contact patients to reschedule appointments when necessary.
  • Utilize Allscripts, Centricity Business, and online paging systems while retrieving information from other hospital systems.
  • Maintain confidentiality concerning patient information in accordance with HIPAA guidelines.
  • Adhere to productivity and quality metrics established by the group.
  • Perform other duties as assigned.

MINIMUM EDUCATION & EXPERIENCE
  • High School Diploma or Equivalent required.
  • Proficient in Microsoft Excel.
  • Excellent customer service skills are essential.
  • Strong written and verbal communication skills are required.
  • A minimum of 2 years' experience in scheduling for multiple physician practices is required.
  • Alternatively, experience as a Patient Access Representative II in two or more specialty groups is acceptable.
