Job Summary:

This position is responsible for covering Registration Coordinators who are out on leave for an extended period. Locations may vary depending on the need for coverage. The intent of this job description is to provide a summary of the major duties and responsibilities performed in this role.

The Registration Coordinator Float is responsible for ensuring the check-in and check-out process for patients is as pleasant as possible. This includes greeting patients, verifying insurance, completing paperwork, and addressing any questions or concerns patients may have.

Essential Job Duties:
  • Warmly welcome patients and visitors to the office by greeting and acknowledging them upon entrance.
  • Answer and direct multiple phone lines in a timely manner, including checking voicemails throughout the day.
  • Process patient payments correctly via credit card or cash and balance the cash drawer daily.
  • Schedule, reschedule, and confirm patient appointments.
  • Work within multiple websites to verify insurances for patient appointments.
  • Assist with patients checking out after their appointment, scheduled follow-up appointments, and hand out any necessary paperwork.
  • Manage assigned task lists and work as a team with other coworkers to complete tasks.
  • Update and/or verify all demographics and necessary paperwork before a patient is seen.
  • Communicate with the back-office regarding delays and maintain the reception area and waiting room in a neat and orderly condition.
  • Work cooperatively with others, including appropriate communication with patients, providers, support staff, and administration.

Required Education and Experience:
The requirements listed below are representative of the knowledge, skills, and/or ability required for this role. Minimum Education (or substitute experience) required: High school graduate or equivalent (GED)

Minimum Experience Required:
Successful completion of a medical front office program or on-the-job training with an emphasis on customer service

Minimum Knowledge and Skills Required:
Bilingual Spanish is preferred. Ability to communicate effectively and congenially with patients and staff members in person and over the phone. Ability to exercise tact, initiative, and good judgment when interacting with patients and staff members. Basic office skills such as typing, transferring calls, faxing, etc. Organizational and problem-solving skills. Ability to work on the computer for long stretches of time. Ability to navigate and accurately input within the EMR system. Ability to accept supervision and feedback.

Travel Required:

10% in the surrounding Temecula, CA area from Hemet, CA to Fallbrook, CA. Training will take place over a 2-week span with travel required to multiple office sites within the surrounding Temecula, CA area from Hemet, CA to Fallbrook, CA.
