Client Relations Specialist

Position Summary:

The Client Relations Specialist will play a crucial role in facilitating effective communication between our clients and the shop management team. This position is essential for ensuring timely scheduling, managing inventory, and overseeing maintenance records.

Work Schedule: Monday - Friday, 6:00 AM to 2:30 PM

Compensation: Hourly pay, paid weekly

Key Responsibilities:

Customer Engagement:

  • Enhance the quality and consistency of client communications to meet their expectations.
  • Manage customer relationship activities, including issue resolution and satisfaction assessments.
  • Implement communication protocols for service scheduling and follow-ups.
  • Drive improvements in Customer Satisfaction Index (CSI) scores.

Operational Management:

  • Boost branch productivity through effective scheduling and planning.
  • Create and update repair order tasks and maintenance planning sheets.
  • Analyze maintenance reports to schedule preventative maintenance and necessary repairs.
  • Coordinate with rental services to manage repair needs and vehicle availability.

Inventory Control:

  • Support cost management through strategic inventory planning.
  • Oversee parts inventory processes, including ordering, receiving, and stocking.
  • Provide recommendations for inventory levels and manage parts obsolescence.

Administrative Duties:

  • Handle incoming shop communications efficiently.
  • Perform clerical tasks related to vehicle maintenance records.
  • Process accounts payable and create repair orders for technicians.

Qualifications:

  • High School diploma or GED required.
  • A minimum of five years of experience in customer service with a focus on issue resolution.
  • Proficient in computer applications, including spreadsheets and word processing.

Skills and Attributes:

  • Detail-oriented with strong follow-up capabilities.
  • Excellent verbal and written communication skills.
  • Ability to multitask and manage time effectively in a fast-paced environment.
  • Proficient in building professional relationships across all organizational levels.
  • Ability to work independently and collaboratively within a team.
