Key Responsibilities:

  • Assist advisors in preparing for client meetings; ensure accurate processing of new business and timely submission of necessary documentation.
  • Proactively anticipate and address the needs of advisors.
  • Maintain the CRM system by entering new contacts, updating existing ones, and managing workflows.
  • Respond to client service inquiries and resolve issues efficiently.
  • Utilize exceptional customer service skills to foster strong client relationships.
  • Draft correspondence as instructed by advisors and manage outgoing mail.
  • Support marketing efforts by coordinating events and managing special projects.
  • Familiarize oneself with and provide backup for the receptionist role.
  • Propose enhancements to streamline office operations.
  • Perform additional tasks as assigned.

Required Skills and Qualifications:

  • Minimum of 1 year of experience in an administrative support role within the financial services sector.
  • Excellent organizational skills; detail-oriented with strong analytical and decision-making abilities.
  • Proficient in technology, including PC and software applications; ability to navigate multiple platforms.
  • Outstanding interpersonal, verbal, and written communication skills.
  • Notary Public certification is a plus.
