Main Responsibilities:

  • Manage the advisor's calendar for meetings, marketing initiatives, and business obligations.
  • Assist advisors in preparing for client engagements; ensure timely processing of new business documentation and follow up on pending items.
  • Proactively anticipate and address the needs of advisors.
  • Maintain the CRM system by entering new contacts and updating existing ones, while creating and managing workflows.
  • Handle incoming calls and resolve client service inquiries effectively.
  • Utilize exceptional customer service skills to foster strong client relationships.
  • Draft correspondence as directed by advisors and manage outgoing mail.
  • Support marketing efforts by coordinating events and special projects.
  • Familiarize with and provide backup for the receptionist role.
  • Propose improvements to streamline office operations.
  • Perform additional tasks as assigned.

Essential Skills and Qualifications:

  • Minimum of 1 year of experience in an administrative role within the financial services sector.
  • Strong organizational capabilities, attention to detail, and analytical skills; ability to work independently and manage stress effectively.
  • High technical proficiency, including advanced PC, internet, and software skills.
  • Excellent interpersonal, verbal, and written communication abilities.
  • Notary Public certification is a plus.
