The successful candidate will work closely with financial advisors, addressing their administrative requirements and contributing to the overall workflow of the office.

The ideal applicant is trustworthy, diligent, ethical, and personable. They should possess a strong sense of integrity and a desire for professional growth. Organizational skills, attention to detail, and the ability to work autonomously while managing multiple tasks are crucial. Comfort with technology and proficiency in Microsoft Office Suite are mandatory. The candidate must also be adaptable and a team player.
Main Responsibilities:
- Manage the advisor's calendar for meetings, marketing initiatives, and business obligations.
- Assist advisors in preparing for client engagements; ensure timely processing of new business documentation and follow up on pending items.
- Proactively anticipate and address the needs of advisors.
- Maintain the CRM system by entering new contacts and updating existing ones, while creating and managing workflows.
- Handle incoming calls and resolve client service inquiries effectively.
- Utilize exceptional customer service skills to foster strong client relationships.
- Draft correspondence as directed by advisors and manage outgoing mail.
- Support marketing efforts by coordinating events and special projects.
- Familiarize with and provide backup for the receptionist role.
- Propose improvements to streamline office operations.
- Perform additional tasks as assigned.
Essential Skills and Qualifications:
- Minimum of 1 year of experience in an administrative role within the financial services sector.
- Strong organizational capabilities, attention to detail, and analytical skills; ability to work independently and manage stress effectively.
- High technical proficiency, including advanced PC, internet, and software skills.
- Excellent interpersonal, verbal, and written communication abilities.
- Notary Public certification is a plus.
