This essential role is designed for a proactive individual who will ensure the office operates smoothly while delivering outstanding service to clients. The successful candidate will collaborate closely with financial advisors and support the administrative functions necessary for efficient office workflow.

Organizational skills, meticulous attention to detail, and the ability to work autonomously while managing multiple tasks are crucial. Comfort with technology and proficiency in Microsoft Office Suite are required. The candidate must also be adept at addressing client inquiries and needs, demonstrating adaptability and teamwork.

Main Responsibilities:

  • Manage the advisor's schedule for meetings, marketing initiatives, and business obligations using scheduling tools.
  • Assist the advisor in preparing for client consultations; ensure timely processing of new business documentation, tracking pending paperwork, and maintaining an updated summary for the advisor.
  • Proactively anticipate the needs of the advisor and address them efficiently.
  • Maintain the client relationship management system by entering new contacts, updating existing records, and creating workflows.
  • Handle incoming calls and resolve client service inquiries within the scope of the role.
  • Utilize exceptional customer service skills to foster strong client relationships.
  • Draft correspondence as instructed by the advisor and manage outgoing communications.
  • Support the advisor in marketing initiatives, coordinate events, and lead special projects as required.
  • Become acquainted with and provide backup for the receptionist role.
  • Offer suggestions for enhancing office processes and efficiency.
  • Perform additional tasks as assigned.

Required Qualifications:

  • A minimum of 1 year of experience in an administrative support role within the financial services sector.
  • Exceptional organizational abilities; detail-oriented with strong analytical and decision-making skills; capable of working independently while maintaining focus under pressure.
  • Strong technical skills, including proficiency with computers, internet applications, and various software platforms.
  • Excellent interpersonal, verbal, and written communication skills.
  • A Notary Public license is advantageous.
