Job Overview

The Assistant Property Manager plays a crucial role in assisting the Property Manager and Building Engineers with various tasks related to facility operations and tenant relations. This position requires a professional demeanor and a positive outlook, along with a foundational understanding of property management principles. Attention to detail and strong organizational capabilities are essential, as is a proactive approach to problem-solving.


Essential Qualifications
  • High School Diploma or equivalent
  • 1-3 years of relevant experience
  • Proficiency in Microsoft Office Suite
  • Valid Texas Driver License with an acceptable driving record

Key Responsibilities
  • Review, code, and authorize invoices; assist in processing rent payments and deposits; manage rent collection as necessary; oversee tenant bill backs.
  • Foster positive tenant relationships by responding to inquiries via phone, email, and in-person interactions, including move-ins, move-outs, and maintenance requests, while aligning with the Owners' objectives and lease agreements.
  • Provide notary services and assist with access cards, keys, and parking assignments.
  • Support rent roll updates, expense reimbursements for staff, tenant and vendor communications; organize tenant events; maintain tenant portals; manage electronic building directories; procure office supplies; oversee work order systems and other electronic platforms such as building access systems.
  • Ensure compliance by maintaining tenants' and vendors' Certificates of Insurance and obtaining/updating Certificates of Occupancy as required. Keep building and engineering permits current.
  • Stay informed of deadlines; utilize calendars for scheduling meetings and ensuring building contracts are up to date.
  • Create and manage tenant lease and building documentation; order signage for both interior and exterior needs.
  • Coordinate emergency protocols, including on-call schedules and fire drills; maintain availability after hours and on weekends to address urgent calls and emergencies.
  • Handle vendor-related issues and requests, including collecting bids, assessing performance, and awarding contracts as necessary.
  • Supervise Security and Day Porter operations and performance.
  • Conduct property inspections for both interior and exterior to ensure proper maintenance; schedule and oversee vendor work, assisting building engineers in tracking and updating various inspections and repairs, while identifying areas for improvement.
  • Assist with construction projects and tenant improvements as required.
  • Aid in budget preparation, estimates, reconciliations, and collection of tenant financials and other reports.
  • Collaborate effectively with the Property Manager and other staff members, employing strong communication skills.
  • Process mileage and credit card reimbursements.
  • Perform additional duties, tasks, and special projects as assigned.
